Hurricanes Harvey and Irma have already caused billions of dollars in damages, but hurricane season is far from over. Experts are predicting that there will be five more major tropical storms through October, and if they present risks to your business, it’s time to establish a watertight disaster recovery (DR) plan. Here are a few things you need to consider.

Pay attention to location
First and foremost, your backup site should be in a hurricane-free zone. Ideally, your offsite facility should be located at least 100 miles away from your main location. If this isn’t possible, make sure it is built to withstand wind speeds of 160 mph (as fast as Category 5 storms), and is supported by backup generators and uninterruptible power supplies.

You should also request an upper floor installation or, at the very least, keep critical IT equipment 18 inches off the ground to prevent water damage.

Determine recovery hierarchy
Certain parts of your IT are more mission-critical than others. Ask yourself which systems or data must be recovered in minutes, hours, or days to get your business back to running efficiently.

For example, you may find that recovering sensitive customer information and e-commerce systems take priority over recovering your email server. Whatever the case may be, prioritizing your systems ensures that the right ones are recovered quickly after a disaster.

Use image-based backups
Unlike fragile tape backups, image-based backups take “snapshots” of your systems, creating a copy of the OS, software, and data stored in it. From here, you can easily boot the virtual image on any device, allowing you to back up and restore critical business systems in seconds.

Take advantage of the cloud
The cloud allows you to host applications and store data in high-availability, geo-redundant servers. This means your backups can be accessed via the internet, allowing authorized users to access critical files from any device. Back up your data frequently
Back up your data often, especially during disaster season. If your latest backups were created on the 15th of September and the next storm, Hurricane Jose, makes landfall on the 28th, you could lose nearly two weeks of data.

Test your DR plan
After setting up your backups, check whether they are restoring your files accurately and on time. Your DR team should also be trained on how to failover to the backup site before the storm hits. Finally, providers, contractors, and customers need to be notified about how the hurricane will affect your operations.

As cell towers and internet connections may be affected during this time, make sure your company forums are online and have your employees register with the Red Cross Safe and Well website so you can check their statuses.

For many businesses, applications like Google Drive are heaven-sent. They make managing files and photos much easier and safer than manually saving them in external disk drives. That said, backing up all files remains a burden to those who have files stored on several devices and can’t seem to transfer these files onto Google Drive or any other cloud platform. Luckily, Google came up with a viable solution to this problem.

Seamless backups and syncing

Google’s new application, Backup and Sync, allows both PC and Mac users to seamlessly back up files, photos, and video files from various devices, SD cards, and USB drives in Google Drive or Google Photos.

To use the app, download and install it on your Mac or your Windows computer, sign in with your Google account, select your sync settings, and choose the folders you wish to back up. If you’re uploading photos or videos, you can choose between High or Original quality upload size. And if you want to upload photos only, you have the option to upload to Google Photos.

Once you’re done setting up, a folder will be created on your computer where files can be saved and accessible anywhere via the cloud. Any file dropped into this folder will automatically sync to Google Drive.

Benefits and downside

Although Backup and Sync is free, you can store only up to 15 GB of data. But if you want to exceed the limit, simply upgrade your Google Drive storage. That said, this new tool is valuable because it simplifies the backup process.

The app is especially beneficial to businesses because it’s easy to set up and requires minimal effort from users. It’s also useful to companies with remote work policies; employees can simply drag and drop files into their computer’s folder and access them anywhere from any device.

A poor mobile device policy can actually lead to burnout and see your employees become overwhelmed by technology. Here’s how to avoid these pitfalls and get the most out of mobile devices in the workplace.

Use the right tool

Some work tasks just aren’t cut out for mobile use. While using a mobile phone or tablet to send emails is an effective way to work on the go, trying to write long form reports on these same devices is a bad idea. As a general guideline, small tasks such as email, viewing documents, using search engines and project management apps are good for mobile work. Anything that is too detailed is probably better suited for a computer or laptop. Lastly, only train your employees to use and learn the mobile devices and programs that make sense for their role. If you want them to be most efficient, you don’t want to overwhelm them with every mobile tool your business uses.

Communicate face-to-face

Email is undoubtedly a valuable communication tool. But it’s also become the bane of existence for many of today’s employees and business owners. Too many emails kills your employees productivity, overwhelming them. And unfortunately, many times email is simply unnecessary. Instead of sending that email about a question concerning an upcoming meeting, simply go and ask in-person. You’ll likely get a response much quicker and you avoid adding yet another message to the email overflow.

Consider adding a face-first policy in your office. This means that every time your employees consider writing an email, they should question if it’s easier to just go talk with that person directly. If that person is located a quick walk away, then the conversation should take place in-person. This especially makes sense if your employee needs an answer within a few hours, as sometimes emails go unanswered for much longer than this. By enforcing an email policy, your employees’ inboxes are less likely to be overflowing and your communication will take place in a more timely manner.

Set boundaries

There’s no question that mobile tech can help productivity, but it can also hinder it. The problem is that many employees who utilize it have difficulty “switching off”. The lines between work and personal life begin to blur as completing work tasks is always right at their fingertips. While on the surface more work output from your employees may sound like a good thing, in reality it’s far from it. Being “always on” can quickly lead to burnout. And even if it doesn’t, if your employees don’t take time to break and recharge, their productivity will suffer. To demonstrate just how many employees fall into this trap of overworking, the 2015 Staples Business Advantage Workplace Index surveyed 2,602 employees and found that a quarter of them regularly worked after standard business hours, and four out of ten worked on at least one weekend a month.

So how can you resolve this issue as an employer? Simply set boundaries. Create time frames for when work platforms and applications can be utilized and for when emails can be sent and responded to. Also, don’t encourage employees to work on off-hours by sending emails during the weekend. If your concern isn’t urgent, then by all means wait till Monday to send it out.

Be flexible

While it may sound a bit contradictory to the last point, being flexible in your work policy can be a smart decision to boost productivity. By being flexible, we mean the ability for your employees to work at hours and locations of their choosing. Most people work better and quicker at certain hours as they are more focused at specific times of the day. And some people will work better remotely than they do at an office space as there can be less distractions. The Staples survey supported this fact as 59% of the employees surveyed said that flexible schedules had a positive effect on productivity.

Cloud tools like Office 365 and Google Apps can help encourage a flexible workplace. But regardless of how flexible your office becomes, be conscious that parameters on work, mentioned in the last section, should still be in place to prevent employee burnout.
